1. Scope of This Policy
This Shot Tec Team Console Privacy Policy explains how Shot Tec, LLC (“Shot Tec,” “we,” “us,” or “our”) collects, uses, discloses, protects, and retains information through Shot Tec Team Console (“Team Console”).
Team Console is an internal and business web application used to manage customer service, appointments, orders, service work, employee tasks, customer follow-up, communications, reporting, and related business workflows.
This Policy applies specifically to Team Console and its connected services. Shot Tec’s public website and other services may be governed by separate privacy notices.

3. Information Team Console May Receive
Team Console may receive information directly from Shot Tec personnel, customers, and services that Shot Tec has authorized and connected to the application.
Depending on how a customer interacts with Shot Tec and which connected services are used, Team Console may receive and process:
- Customer name;
- Telephone number;
- Email address;
- Appointment date, time, service type, attendance status, and booking source;
- Order and transaction information;
- Purchased item or product names and identifiers;
- Payment status and related transaction status, but not payment-card credentials;
- Employee assignments and task information;
- Customer Job records, service status, instructions, and workflow status;
- Shipping, fulfillment, pickup, and follow-up information; and
- Operational record identifiers supplied by connected services.
Team Console is designed to collect and retain only the information reasonably needed for the applicable Shot Tec business workflow.
4. How We Use Team Console Information
Shot Tec may use information processed through Team Console for legitimate business purposes, including:
- Providing customer service and customer care;
- Managing orders, fulfillment, transfers, shipping, and pickups;
- Coordinating employee work and task assignments;
- Managing appointments and customer check-ins;
- Managing service and Customer Job workflows;
- Conducting authorized customer follow-up;
- Sending appointment, service, pickup, maintenance, promotional, and other customer communications where permitted by law and with any required consent;
- Preventing duplicate records or duplicate workflow actions;
- Troubleshooting integrations and maintaining security;
- Maintaining internal business records; and
- Conducting internal reporting and workflow automation.
5. Connected Services
Team Console may exchange limited information with services authorized by Shot Tec, including:
- Clover;
- FastBound;
- Calendly;
- Google Calendar;
- MomentumHQ or LeadConnector;
- Messaging providers such as Twilio; and
- Other service providers authorized by Shot Tec to support Team Console operations.
Each connected provider processes information under its own terms, privacy policy, and security practices.
Shot Tec may share information with service providers as reasonably necessary to:
- Host, maintain, secure, and support Team Console;
- Provide communications and other requested services;
- Process authorized integrations;
- Diagnose errors and maintain service reliability; and
- Support Shot Tec’s legitimate business operations.
Shot Tec may also disclose information when reasonably necessary to:
- Comply with applicable law, regulation, legal process, court order, or governmental request;
- Investigate, prevent, or address suspected fraud, abuse, unauthorized access, or security incidents;
- Enforce applicable agreements and policies;
- Protect the rights, property, safety, and security of Shot Tec, its customers, its personnel, its service providers, or others; or
- Establish, exercise, or defend legal claims.
Shot Tec does not sell personal information or mobile messaging consent information to third-party advertisers.
6. Clover Information
When authorized through Clover, Team Console may access Clover merchant information and data related to:
- Orders;
- Payment status;
- Customers;
- Employees;
- Inventory or items; and
- Operational identifiers needed to associate Clover records with Shot Tec workflows.
Team Console does not store full payment-card numbers, card verification values or CVV data, PINs, magnetic-stripe data, or other cardholder authentication credentials.
Payment processing remains subject to Clover’s systems, agreements, and privacy practices.
Clover is a third-party service. Clover does not sponsor or endorse Team Console merely because Team Console interoperates with Clover.
7. FastBound Privacy and Compliance Boundary
FastBound remains Shot Tec’s compliance system of record. Team Console is designed to receive only limited operational information needed to coordinate authorized Shot Tec workflows.
Team Console is designed not to request, import, display, store, or log:
- ATF Form 4473 contents;
- Social Security numbers;
- NICS or other background-check information;
- Driver’s-license or other government-identification information;
- Signatures;
- UPIN or alien-registration numbers;
- Compliance attachments or documents; or
- Raw FastBound records containing information outside Team Console’s approved operational fields.
Limited operational information may include a FastBound contact identifier, approved customer contact fields, an item or operational record identifier, acquisition type or date, disposition status or date, and other limited status information needed to manage a Shot Tec workflow.
Legal and regulatory records remain in FastBound or another designated compliance system. Team Console is not intended to replace Shot Tec’s required acquisition-and-disposition records or other legally required records.
8. Appointment and Calendar Information
When authorized, Team Console may receive limited appointment information from Calendly, Google Calendar, or another approved scheduling service.
This information may include:
- Appointment date and time;
- Customer name;
- Service or appointment type;
- Customer telephone number or email address when available;
- Booking source;
- Attendance or appointment status; and
- An operational event identifier.
Team Console is designed not to copy raw calendar descriptions, Calendly custom-question answers, or unrelated free-text calendar content by default.
Calendly-originated appointments may be treated as the primary record when the same appointment also appears in Google Calendar.
9. Customer Records and Matching
Team Console may associate information from connected services with an existing Shot Tec customer record.
Where available, matching is based on identifiers such as:
- A previously stored external-service identifier;
- An exact normalized telephone number; or
- An exact normalized email address.
Team Console is not intended to merge customer records based solely on a matching or similar name. Ambiguous potential matches may be sent for manager review.
10. SMS and Email Communications
Where permitted by law and with any required consent, Shot Tec may use customer contact information to send transactional, service-related, customer-care, or promotional SMS messages and emails.
These communications may include:
- Appointment confirmations or reminders;
- Service-status notifications;
- Pickup notifications;
- Maintenance or customer-care follow-up;
- Order or fulfillment updates;
- Rescheduling information;
- Information about relevant Shot Tec products, services, training, events, or promotions; and
- Other communications relating to a customer’s request, purchase, appointment, service relationship, or consented marketing preferences.
Consent to receive promotional text messages is not a condition of purchase. Customers may opt out of automated SMS messages at any time by replying STOP. Where supported, customers may reply HELP for assistance.
Message and data rates may apply. Message frequency may vary.
A customer who opts out of automated SMS messages may still receive non-SMS communications and communications that are legally required, individually requested, or otherwise permitted by law.
Shot Tec does not sell personal information or mobile messaging consent information to third-party advertisers.
Service providers used to transmit communications may process telephone numbers, email addresses, message content, consent or suppression status, delivery information, and related metadata on Shot Tec’s behalf and only as reasonably necessary to provide the applicable service.
11. Employee and Authorized-User Information
Team Console may process employee and authorized-user information, including:
- Name;
- Role;
- Work assignments;
- Task status;
- Job notes;
- Account activity;
- Sign-in activity;
- Administrative actions; and
- Audit information.
This information may be used to operate the business, coordinate work, protect customer information, maintain security, and provide accountability.
Authorized users should access only the information necessary for their assigned responsibilities.
12. Cookies, Sessions, and Authentication
Team Console may use cookies, authentication sessions, or similar technologies to:
- Authenticate authorized users;
- Maintain a secure login session;
- Remember necessary application settings;
- Prevent unauthorized access;
- Support employee PIN or role-based access features; and
- Protect the security and integrity of Team Console.
These technologies are used for operational and security purposes rather than third-party advertising.
13. Security Safeguards
Shot Tec uses reasonable administrative, technical, and organizational safeguards appropriate to the nature of Team Console and the information it processes.
These safeguards may include:
- Server-side protection and encryption of integration credentials;
- Authentication and role-based access controls;
- Limiting employee access according to job responsibilities;
- Data minimization and field allowlists;
- Separation of testing and production integration credentials;
- Authentication or signature verification for supported webhook traffic;
- Audit records and security monitoring;
- Rate limiting and other endpoint protections; and
- Controls for disabling external automation or messaging.
No website, application, network, or storage system can be guaranteed to be completely secure. Shot Tec therefore cannot promise absolute security.
14. Data Retention and Deletion
Shot Tec may retain Team Console information for as long as reasonably necessary to:
- Operate the business and provide requested services;
- Maintain accurate customer, order, appointment, task, communication, and service records;
- Satisfy legal, accounting, regulatory, contractual, or recordkeeping obligations;
- Protect the security and integrity of Shot Tec systems;
- Investigate or prevent fraud, misuse, or security incidents;
- Resolve disputes;
- Enforce agreements; and
- Support other legitimate business purposes.
Retention periods may differ according to the type of record and the system in which it originated.
Deleting information from Team Console does not necessarily delete the corresponding record from Clover, FastBound, Google, Calendly, a messaging provider, or another source system.
Requests for access, correction, or deletion may be limited where Shot Tec must retain information for legal, regulatory, security, operational, dispute-resolution, or recordkeeping purposes.
15. External Links and Third-Party Services
Team Console may contain links to or interoperate with third-party services.
Shot Tec is not responsible for the independent privacy, security, or data-handling practices of those providers. Customers and authorized users should review the applicable provider’s terms and privacy policy when appropriate.
16. Children’s Information
Team Console is a business operations application and is not directed to children.
Shot Tec does not knowingly use Team Console to collect personal information from children in violation of applicable law.
17. Changes to This Policy
Shot Tec may update this Team Console Privacy Policy from time to time to reflect changes in Team Console, connected services, legal requirements, or business practices.
The updated Policy will be posted with a revised “Last Updated” date. Where required by law, Shot Tec may provide additional notice or obtain consent before a material change takes effect.
